This policy explains how we handle personal information when you visit our website, use our design tools, request a quotation, place an order or contact us.
Information We Collect
Depending on how you interact with us, we collect:

Contact and order information: your name, email, billing and delivery addresses, telephone number where provided, order details, payment status and customer account information.

Design and quotation information: custom wording, names, logos, artwork, uploaded files, selected colours, dimensions and other specifications, together with your budget, project type and messages.

Support information: correspondence, delivery enquiries, return requests, warranty claims and photographs or documents you provide.

Technical and usage information: IP address, browser and device information, approximate location, language and currency preferences, referral sources, pages visited and interactions with our design tools, forms, cart and checkout.

Privacy and marketing preferences: consent choices, subscriptions and opt-out requests.
We receive information directly from you, through cookies and similar technologies, and from providers supporting payments, delivery, advertising and store operation. Payment providers process your payment credentials; we receive the transaction information needed to manage your order.
Please include only information necessary for your request when uploading artwork or files, and ensure you are authorised to provide anyone else’s personal information.
How and Why We Use Information
Where the GDPR applies, our legal grounds depend on the purpose:

Contract and requested pre-contract steps: preparing quotations and designs, processing payment, manufacturing and delivering orders, and providing contractual support.

Legal obligations: maintaining required accounting and tax records and meeting applicable consumer protection requirements.

Legitimate interests: responding to general and business enquiries, maintaining website security, preventing fraud, managing disputes and improving our services where this does not override your rights.

Consent: sending optional marketing communications and using non-essential tracking for analytics, advertising and personalisation where consent is required.
If you do not provide information necessary to prepare a quotation, process an order or arrange delivery, we may be unable to fulfil that request. Optional marketing consent is not a condition of purchase.
Who Receives Information
We share relevant information with providers supporting our store, including hosting and software providers, design and file-upload services, payment providers, manufacturing partners, delivery companies, customer support services and professional advisers.
Our analytics and advertising tools include Google Analytics and Meta. Subject to applicable consent requirements, these tools may receive device identifiers and interaction events, such as design-tool use, cart activity and quotation requests, including relevant project categories or budget bands.
We may also disclose information when legally required or necessary to establish, exercise or defend legal claims.
Shopify and Network Intelligence
Our store is hosted by Shopify. Shopify processes information about your visits and purchases to operate the store and provide its services.
We use Shopify Network Intelligence. This allows Shopify to use information from interactions with our store together with information from interactions with other merchants and Shopify to provide enhanced services, including personalisation, advertising and service improvements. This processing is subject to applicable consent and opt-out choices.
Shopify also acts as a controller for certain processing described in its Consumer Privacy Policy. You can learn about Shopify’s use of your information and exercise relevant rights through its Privacy Portal.
Manufacturing and International Processing
To prepare designs, manufacture your sign and arrange delivery, we share necessary information with manufacturing and fulfilment partners. This may include your name, delivery details, order specifications and submitted artwork. Some of these partners operate outside the European Economic Area.
We are completing the contractual arrangements and assessment of safeguards for transfers to our manufacturing partners. This section will be updated once those arrangements are finalised.
Shopify and other service providers may also process information outside the European Economic Area, including in Canada and the United States. Storage of some data within the European Union does not mean all processing occurs there.
Shopify describes its international-transfer safeguards, including Binding Corporate Rules and, where applicable, Standard Contractual Clauses, in its Privacy Policy.
You may contact us for information about the recipients, processing countries and safeguards relevant to your data, including copies of applicable contractual safeguards, subject to necessary redactions.
Cookies and Your Choices
We use cookies and similar technologies to operate the store, remember preferences, understand website use and support advertising.
Essential technologies support functions such as security, shopping carts and checkout. Where consent is required, non-essential analytics, advertising and personalisation technologies require your permission.
Use Manage preferences in the cookie banner to review the available categories. You can change or withdraw consent through the store’s cookie preferences. Browser settings can also restrict cookies, although this may affect store functionality.
You can unsubscribe from marketing emails using the unsubscribe link or by contacting us. Order and service messages are separate from marketing subscriptions.

Some disclosures to advertising partners, including certain Shopify enhanced services, may constitute “sale”, “sharing” or “targeted advertising” under applicable US state privacy laws, even without a monetary payment.
Where applicable, you can opt out through Your privacy choices or by emailing us. Shopify’s privacy tools also recognise Global Privacy Control signals in regions where the data-sharing opt-out feature is enabled.
Depending on applicable law, you may have additional rights to access, correct or delete information, obtain a portable copy, appeal a decision about your request or use an authorised agent. We will not unlawfully discriminate against you for exercising your privacy rights.
How Long We Keep Information
Retention depends on why information is needed. We consider whether a quotation remains active, whether an order or support matter is ongoing, applicable warranty and legal claim periods, and mandatory accounting or tax requirements.
Design files and correspondence are retained according to those purposes. We delete or anonymise information when it is no longer needed, subject to applicable legal requirements. An erasure request does not require us to remove records we must lawfully retain.
Security
We use technical and organisational safeguards appropriate to the information and processing involved. No internet transmission or storage system can be guaranteed completely secure.
Your Rights and Complaints
Subject to applicable law, you may request access, correction, erasure, restriction or portability of your personal information. You may object to processing based on legitimate interests and to direct marketing, including related profiling.
Where processing relies on consent, you may withdraw it at any time without affecting the lawfulness of earlier processing.
Contact support@theartneon.com to exercise your rights. We may need information to verify your identity. We respond within applicable legal time limits and explain any permitted extension or refusal.
You may complain directly to Finland’s Office of the Data Protection Ombudsman or another competent supervisory authority, including in your country of residence where applicable. You do not have to contact us first.
Changes to This Policy
We may update this policy to reflect changes in our services, practices or legal requirements. Where required, we will provide additional notice or request fresh consent.
